Recording Settings for Workspace Admins

Control what Fellow records and how it records in your workspace

The Recording page in workspace settings is where administrators decide how Fellow's AI Note Taker works for the whole workspace: whether AI features are on at all, which ways of recording people can use, which one Fellow suggests first, how attendees are told about recording, and how transcripts are produced. Each setting applies to everyone. Where people can choose for themselves, a lock lets you decide whether they may.

Note: Only workspace administrators can open workspace settings. Some rows depend on your plan and show an upgrade icon when your plan does not include them.

How to open the Recording page

  1. Click your workspace logo in the top-left corner and select Workspace settings.

  2. Click Recording in the left panel, under Meetings.

Each setting saves as soon as you change it. There is no Save button.

AI features

AI features is the master switch. Turn it off, and Fellow stops recording, transcribing, and writing AI notes for everyone in the workspace. Turning it off does not delete anything already recorded.

Turn it back on and everything below works again.

Recording methods

Fellow can record a meeting in four ways. The recording methods row shows which ones are currently allowed. Click it to open the list and turn each one on or off.

Without a bot

  • Desktop recording: people record from the Fellow desktop app, which captures computer audio and the microphone. Nothing joins the call.

  • Mobile recording: people record in-person meetings from the Fellow mobile app, using the phone's microphone.

  • Zoom native capture: Fellow records Zoom meetings through Zoom's own recording, without a bot, where Zoom allows it.

With Fellow's bot

  • Fellow's bot: Fellow joins online meetings as a participant and records from inside the call. Two defaults sit under it:

    • Auto-record decides which meetings the bot joins on its own: All meetings (Recommended), Meetings a user organizes, or Manually toggled meetings only. With the last option, people turn recording on meeting by meeting. Off never blocks manual recording.

    • Start recording when joining from the calendar starts a desktop recording when someone joins a meeting from their calendar. It needs the Fellow browser extension, which IT can install for everyone through the Google Admin console.

Preferred recording method

This is the method Fellow shows first everywhere people start a recording. Choose one of the methods you allow, for example, the bot for teams that mostly meet on video calls, or desktop recording for teams that want nothing visible in the call. People can pick a different method for a meeting unless you lock this setting.

Consent and disclosure

Recording disclosure

Recording disclosure emails attendees before the meeting to let them know it will be recorded. You can customize the message in the email by adding your own note. Choose who receives it:

  • All attendees

  • External and internal invitees without a Fellow account

  • External invitees

  • No one

Transcription

Custom vocabulary

Custom vocabulary is the list of words and names Fellow should recognize when it transcribes in English. Your company name and attendee names are already included, so add product names, acronyms, and industry terms. Members can add their own words in their personal settings.

Voice matching

Voice matching lets Fellow tell who is speaking in hybrid and in-person meetings by collecting voice samples. Turn it off if your organization does not want voice samples collected. People can also turn it off for themselves under User settings > Note Taker > Voice matching.

Trackers

Trackers decide who can create and edit trackers, the keywords Fellow watches for across meetings.
