Auto-Record options with Fellow Note Taker

Control when and how the Fellow Note Taker joins and records your meetings

The Fellow Note Taker is designed to make recording your meetings effortless, but there are times when you want more control over which meetings get recorded. Whether you want to set rules at the workspace level, disable auto-record entirely, or stop a recording mid-call, this article walks you through all the options available to you.

Workspace Level Auto-Record and Restriction Settings

Workspace administrators can set auto-record rules that apply to everyone in the workspace, or to specific users and their direct reports. Admins can also add restrictions that override any auto-recording rules; if a meeting matches the restriction criteria, it will not be recorded under any circumstances.

To manage these settings, go to Workspace Settings > Note Taker & AI > Policies:

If you want to customize auto-record rules for your own meetings, you can set these up from your personal settings.

  1. Go to your User Settings and select the Meeting following custom rules option, then click View and manage.

  2. From there, click on Add a policy

  3. Set up your custom rules in the modal that appears, then click the blue Add rule button when you're done.

Disabling Auto-record

If you'd prefer to manually control which meetings get recorded, you can turn off auto-record entirely using any of the options below.

  1. In your User Settings, go to the Note Taker tab and set your recording preference to Only meetings I manually toggle.

  2. If you're creating meetings from within Fellow or from Google Calendar with the Fellow extension installed, you can toggle off the Enable Auto-record/ Record & Summarize toggle directly on the event.

  3. You can also disable auto-record on a per-meeting series basis. To do this, click the series settings and head into the Automations tab. From there, toggle off auto-record for your meeting series.

Pausing your recording

When the Note Taker is in a meeting, you can go "off the record" at any time by pausing and resuming note-taking. This is useful for handling small talk at the start of a meeting, breaks, or sensitive discussions.

How to pause and resume recordings:

  1. To pause, click the Recording icon in either the Chrome extension for Google or within the Fellow note, then click Pause.

  2. To resume, click Paused and then click Resume.

  3. After the meeting, the transcript will indicate where the recording was paused. When playing back the recording, key events will mark where it was paused and resumed.

Remove the Note Taker from a Call

If the Note Taker has already joined and started recording, and you want to stop it, you can remove it directly from the call.

  1. Click the red Rec icon at the top of your Fellow note.

  2. In the modal that appears, click Stop.

Deny Entry

If the Note Taker joins a call you don't want recorded, you can deny it entry before it starts recording.

  1. Click on the attendee list in your call.

  2. Click the three-dot menu next to the Note Taker.

  3. Select Deny entry.
