How to set up Fellow's integration for Zoom to record meetings without having a bot in the call

What is Zoom Native Capture?

Zoom Native Capture allows Fellow to capture your Zoom meetings natively through Zoom's infrastructure. Unlike traditional meeting bots that join as participants, Native Capture works behind the scenes to record your meetings seamlessly, no bots needed.

Benefits of Native Capture

  • No bot in the meeting - Meetings are recorded securely without a notetaker bot joining as a participant

  • Recording disclosure - Meeting hosts must approve Fellow's request to record, and Zoom has a built-in display to notify participants that the recording is taking place

How It Works

Zoom Native Capture integrates with Fellow through Zoom Apps. There are two levels of installation:

  1. User-level App - Individual users can install this to record meetings they host

  2. Admin-level App - Workspace admins can install this to enable recording for all meetings across the organization

User-Level Installation

The User-level app allows individual team members to start using Native Capture for meetings they host.
Perfect for:

  • Individual contributors testing out the feature

  • Organizations rolling out the feature gradually

Admin-Level Installation

The Admin-level app allows workspace administrators to enable Native Capture for all users in the organization, without the need for individual authorization.
Perfect for:

  • Company-wide rollouts

  • Ensuring consistent meeting documentation

  • Centralized management of recording settings

Requirements

To use Zoom Native Capture, you'll need:

  • A paid Fellow workspace

  • A paid Zoom account

  • Host permissions for the meetings you want to record (or admin access for organization-wide setup)

  • The Zoom desktop app installed

  • The "Share realtime meeting content with apps" setting enabled in Zoom

Getting Started

For Individual Users

  1. Install the Fellow Zoom App

  2. Connect your Fellow account when prompted

  3. Grant the necessary permissions

  4. Make sure you have the setting in Zoom for "Sharing realtime meeting content with apps" enabled under settings > Zoom apps (screenshot below)

  5. Start or join a Zoom meeting you're hosting

  6. Click the "Record Now" button within Fellow for the desired meeting, if not set to auto-record


For Workspace Admins

Follow these steps to enable Zoom Native Capture for all members of your workspace without needing users in your workspace needing to individually connect the Fellow app for Zoom.

  1. Enable Zoom Native Capture for your workspace users in Fellow's Workspace Settings

    1. Depending on your Zoom settings you may need to approve the Fellow Zoom Admin app before you can then connect it. You can approve it from the Zoom Marketplace page.

  2. Enable the "Share realtime meeting content with apps" setting, found in account settings > Zoom apps (see screenshot below) and lock this setting.

  3. Provision the Fellow for Zoom app on behalf of all users. Learn how to provision the Fellow Zoom User app for workspace members here.

  4. All Zoom meetings hosted by workspace members will now be captured

Finding Your Recordings

Once your meeting ends, the recording is processed and Fellow automatically syncs it to your meeting note.
The video file, transcript, and AI recap will be available just like when recording a call with a bot.

Will participants know the meeting is being recorded?

Yes. Zoom will display a notification that the meeting content is being accessed by an app to all participants.

Can I use this with Google Meet or Microsoft Teams?

No. Zoom Native Capture is specifically for Zoom meetings. For other platforms, use Fellow's traditional Note Taker bot.

What happens if I have both the User-level and Admin-level apps installed?

That's fine! They work together. The Admin-level app ensures all workspace meetings are captured, while the User-level app gives you access to the integration features in the Zoom client.

Do I need to do anything during the meeting?

No. Once installed and configured, recordings happen automatically for your Zoom meetings.

Can I disable recording for specific meetings?

Yes. You can control recording settings through your Zoom meeting settings or by adjusting the app permissions for specific meetings.

What permissions does Native Capture require?

I installed the app and started a recording from Fellow, but a bot joined instead. Why?

There are a few reasons this could be happening! Your organization may have disabled apps from accessing real-time meeting content, the host may have denied the app's request, or your Fellow integration may be out of date. When a recording can't be initiated through this method, a bot is sent as a backup to make sure that you don't lose any valuable meeting content while you troubleshoot.

What meeting content is captured?

Just like with Fellow's note taker bot, Fellow's integration with Zoom captures participant video and audio, transcripts, and content that is screen-shared.

Can I control what content is captured?

Meeting content capture can be rejected, paused, resumed, or deleted at any time. Fellow can only access information that is made available to it while actively recording.


Should I add Fellow to the list "Auto-start apps that access shared realtime meeting content" in the Zoom Account Settings?

We recommend that you do not add Fellow to this list of apps that automatically start recording when meetings start. Fellow has a robust set of meeting recording rules, restrictions, and user preferences, and the experience during the call will be better if Fellow is initiating the recording instead of Zoom. If Zoom sends a request to record a call that Fellow deems should not be recorded for any of the preceeding reasons, the request will be rejected by Fellow and an error will be displayed in Zoom.

Is it required to enable "Local Recording" in Zoom's settings like for the bot?

No, Zoom native capture does not require local recording. The new, purpose-built setting named "Share realtime meeting content with apps" in the Zoom Apps settings in your Zoom Account is the only required setting to enable this type of recording.

Does Zoom also retain a copy of the recording in Cloud Storage?

No, Zoom does not retain a copy of the recording made by Fellow's integration.

Can I record a call with both the notetaker bot and native capture at the same time?

No, a meeting can only be recorded using one method at a time for a given Fellow workspace.

If I use native capture for Zoom, can I still use the bot for Google Meet and MS Teams calls?

Yes, the settings for Zoom do not impact other meeting platforms and a bot may still be used there.
