Pre-Meeting Reminders and Recording Disclosures help you set every meeting up for success before it even begins. Reminders encourage attendees to add their talking points in advance, while Recording Disclosures ensure transparency by notifying attendees that a meeting will be recorded and sent automatically so you don't have to think about it.
Pre-Meeting Reminders
How to access pre-meeting reminders
Open the meeting note and click the three dot menu (โฎ) in the top right corner of your meeting note.
Find Pre-Meeting Reminders and click the toggle to turn it on, or click Configure to customize your settings.
Setting up a reminder
Click Add reminder to create your first reminder.
Configure the settings for that reminder:
Timing: Choose how far in advance of the meeting the reminder should be sent.
Delivery method: Select Slack, MS Teams, or Email. The options you see will depend on which integrations you have connected.
If you select Slack or MS Teams, you'll also need to specify the channel or team where the reminder should be sent.
Recipients: Choose to remind all participants or a specific group.
Click Save. Your reminder will now appear in your reminders list.
You can add up to 5 reminders in total for different time windows, recipients, or delivery methods. To add another, click Add another reminder and repeat the steps above.
When you're done, click the Save button in the upper right corner to close the settings panel.
Editing or deleting a reminder
Return to the three dot menu (โฎ), Automations and click Configure next to Pre-Meeting Reminders.
Click on the reminder you want to edit or delete.
Make your changes or click Delete, then confirm in the modal that appears.
Recording Disclosures
Recording Disclosures notify attendees via email 1 hour before a meeting that it is set to auto-record. This ensures transparency and gives attendees a heads up before the meeting begins.
๐กBy default, Recording Disclosures are turned off. An admin must enable them in Workspace Settings.
Admins - Turning recording disclosure on or off at a workspace level
An admin can enable or disable the Recording Disclosure email for the entire workspace:
Go to Workspace Settings โ Note Taker & AI โ Policies.
Find Recording disclosure policy and toggle it on or off.
On: An email is automatically sent to the selected recipients 1 hour before each recorded meeting.
Off: No email is sent, even if meetings are being recorded.
Use the dropdown to choose who receives the disclosure email either:
External invitees only, or
External and Internal invitees without a Fellow account.
Controlling whether non-admins can override the setting
As an admin, you can decide whether non-admin users can adjust the Recording Disclosure setting at the series level by clicking the lock icon next to the Recording disclosure setting.
Locked: Non-admin users cannot change the setting. You retain full control over who receives disclosure emails.
Unlocked: Non-admin users can turn the disclosure email on or off for individual meeting series based on their preferences.
Turning recording disclosure on or off for a specific series (non-admins)
If the Recording Disclosure setting has been unlocked by your admin, you can control it on a per-series basis:
Open the meeting note and click the three dot menu (โฎ) in the upper right corner to open Series Settings โ Automations
Toggle Recording Disclosure on or off for that series.
When turned on, the recipients will be determined by your Workspace Settings.
