Remove Teammate's Access to a Note

How you can remove a teammate's access to a note that's been shared with them

You can remove a teammate's access to a note when they no longer need to view or collaborate on the meeting content. For meeting notes linked to calendar events, you must first remove them from the calendar invitation. For shared note series not tied to calendar events, you can remove them directly from the share settings. This ensures your meeting notes stay private and only accessible to the right people.

Understanding Note Access

Fellow automatically grants note access based on calendar event attendance and manual sharing.

Calendar attendees automatically get access as access is tied to the calendar invitation. This means removing a user from the calendar event automatically removes note access unless they were manually shared afterwards.

Note: You must be the meeting organizer to remove calendar attendees.

When to Remove Access

Common scenarios for removing teammate access:

  • Team member is no longer involved in the project

  • Person changed roles or departments

  • Meeting is now confidential to a smaller group

  • Temporary collaborator's project ended

  • Someone was added to the note by mistake

  • Sensitive content requires restricted access

How to Remove Access from Meeting Notes

For notes linked to calendar events, you must remove the person from both the calendar invite AND the note access.

Step 1: Remove from calendar event

  1. Open the calendar event in Google Calendar or Outlook

  2. Click Edit event

  3. Remove the person from the attendee list

  4. When saving, select All events if it's a recurring meeting to remove them from all note access.

    1. If you choose to only remove them from future events, they will still have access to the notes they were part of but not the events going forward.

  5. Save the changes

This removes them from the calendar invitation and may automatically remove their note access.

Step 2: Verify calendar removal worked

  1. Return to the note in Fellow

    1. This may require a refresh

  2. Look at the attendee list on the right side

  3. Check if the person still appears

If they're gone from the attendee list, you're done! If they still appear, continue to Step 3.

Step 3: Manually remove from note access

  1. Click the Share button in the upper right corner of the note

  2. Toggle to the Share tab (not send)

  3. Find the person in the access list

  4. Click the Can edit dropdown next to their name

  5. Select Remove

The person no longer has access to view or edit the note.

Important: If the Can edit button is greyed out with a lock icon, this person is still an attendee on at least one calendar event in the series. Return to Step 1 and ensure they're removed from all calendar invites.

What Happens After Removing Access

For the removed person:

  • They can no longer view or edit the note

  • The note disappears from their Fellow workspace

  • They lose access to all notes in the series (for recurring meetings)

  • Action items assigned to them remain visible to note participants

For remaining collaborators:

  • All content created by the removed person stays in the note

  • Action items they created remain

  • Comments and edits they made are preserved

  • No data is deleted when removing access

Understanding the Lock Icon

When you try to remove someone and see a lock icon next to "Can edit":

What it means:

  • This person is still an attendee on one or more calendar events in the meeting series

  • Fellow prevents removal because they have calendar-based access

  • You must remove them from all calendar invites first

How to resolve:

  1. Check all calendar events in the series (especially recurring events)

  2. Remove the person from every calendar invite

  3. Select All events when saving recurring event changes

  4. Manually sync your calendar with Fellow

  5. Return to the Share menu - the lock should be gone

Troubleshooting

Can't remove person - "Can edit" button is locked

Cause: The person is still listed as an attendee on at least one calendar event in the series.

Solutions:

  1. Open each calendar event in the series and verify they're removed

  2. For recurring meetings, edit the event and select All events when saving

  3. Check if they're on future instances but not past instances

  4. Manually sync your calendar with Fellow after removing from calendar

  5. Wait a few minutes for the sync to complete, then try again

Person removed from calendar but still has access

Possible causes:

  • Calendar sync hasn't updated yet

  • Person was manually shared on the note separately from the calendar

  • They have cross-workspace collaboration access

Solutions:

  1. Click the manual sync button at the bottom of the Fellow calendar

  2. Wait a few minutes for sync to complete

  3. Manually remove them using the Share button method

  4. Check if they're shared via cross-workspace collaboration

Removed person can still see the note

Possible causes:

  • They're viewing a cached version

  • Removal hasn't propagated yet

  • They regained access through a new calendar invite

Solutions:

  1. Verify they're removed in the Share menu

  2. Ask them to refresh their Fellow page or log out and back in

  3. Check if someone re-added them to a calendar event

  4. Contact Fellow Support if the issue persists

Need to remove someone from multiple meeting series

Cause: Person is involved in many meetings and you need to remove them from all.

Solution: You must remove them from each meeting series individually:

  1. Remove from all relevant calendar events first

  2. Then manually remove from each note series if needed

  3. Consider if there's an organizational change that requires broader access review

Want to hide content they created

Cause: Removing access doesn't delete their contributions - it only prevents future access.

Solution:

  • Their action items, comments, and content remain in the note after removal

  • You can manually delete or edit their contributions if needed

  • Consider using Lock Notes to prevent changes to sensitive content

Can't edit calendar event to remove attendees

Cause: You're not the event organizer.

Solution:

  • Only the event organizer can remove attendees from calendar events

  • Contact the meeting organizer to remove the person

  • If you need to restrict note access but can't change the calendar, this may not be possible for calendar-linked notes
