Your Workspace Has More Than 10 Users - Here's What to Do

Keep everyone on Fellow when your team grows past the Free plan limit

If you've landed on this article, your team is growing - and that's a good thing! Fellow's Free plan supports up to 10 users, so once your workspace exceeds that limit, you'll start seeing a warning banner letting you know it's time to take action.

Here's what that means, and what your options are.

Why This Is Happening

The Free plan is designed for smaller teams just getting started with Fellow. Once you have more than 10 people enabled in your workspace, you'll need to either upgrade to keep everyone connected or reduce the number of enabled users back down to 10.

Your Options

Upgrade to a paid plan (recommended)

The simplest way to keep your whole team on Fellow - without losing any access or data - is to upgrade. Any user can do this by going to Workspace Settings > Plans & Billing and selecting a plan that fits your team.

Here's a quick look at what's available:

Team plan - this plan supports up to 20 users and includes everything on the Free plan, plus:

  • 10 AI meeting notes and recordings per user per month

  • Meeting automations

  • Project management integrations (Jira, Asana, ClickUp, Linear, Confluence, Notion, and more)

  • Shared personal note series

  • Due dates on action items

  • Version history for notes

Business plan - this plan is built for teams that need more AI power and CRM connectivity, including:

  • Unlimited AI meeting notes and recordings

  • Sales AI recap templates

  • CRM integrations (Salesforce, HubSpot)

  • Org-wide meeting templates

Enterprise plan - this plan is designed for larger organizations that need advanced security and admin controls, including:

  • Domain control and user provisioning

  • Workspace analytics

  • Delegated access

  • HRIS syncing (Workday, BambooHR, Namely)

  • Transcript redaction and custom recording avatars

Once your workspace is upgraded, the warning banner disappears and your entire team can keep using Fellow without any interruption.

Reduce your workspace back to 10 users

If upgrading isn't the right move right now, you can manually disable users to bring your workspace back within the Free plan limit.

To do this:

  1. Go to Workspace Settings > Manage Users

  2. Disable users until only 10 are marked as enabled

Important: Disabling a user does not delete their notes. Their data stays intact - it just won't be accessible to them until they're re-enabled or your workspace is upgraded.

Do nothing (not recommended)

If no action is taken, Fellow will automatically begin disabling users two weeks after the warning first appears. Affected users will receive an email notification and will see an error message when they try to log in. Their notes will not be deleted, but they won't be able to access them until the situation is resolved.
