The HubSpot integration allows you to centralize all your customer information by sending your meeting notes, AI-generated recaps, and action items directly to HubSpot. You can also prepare for upcoming calls by viewing relevant contact and deal information from HubSpot alongside your Fellow notes, all in one place.
Note: The HubSpot Integration is available for users on the Solo, Business, and Enterprise plans.
Setting Up the Integration
The HubSpot integration is set up in two stages:
Step 1: At a workspace Admin at the workspace level and
Step 2: Then, by each member at the user level.
Workspace Admin Setup
To complete these steps, you must be an Admin in Fellow and a Super Admin in HubSpot:
Click on Integrations under Workspace Settings.
Scroll down to the HubSpot card and click to open the details view.
Click Connect and choose the HubSpot account you'd like to connect to Fellow.
Complete the authentication process. A confirmation message will appear at the bottom of your screen once connected.
Any users in your workspace who previously had the user-level integration set up will be automatically opted in, and the transition will be seamless for them.
User Level Setup
Once an Admin has connected the integration at the workspace level, members can enable it from their own settings.
Click on Apps and integration under User Settings
Scroll down to the HubSpot card and click to open the details view
Press Connect in the upper right corner. A notification will appear confirming the connection.
Set up your configurations. You can choose to automatically send notes to HubSpot 3 hours after the meeting ends, and decide whether to include the AI recap and a link to the recording.
Disconnecting the Integration
Workspace Admins:
Go to Workspace Settings > Integrations > HubSpot, open the More Actions dropdown, and select Disconnect.
Note: This will disconnect the integration for all users in your workspace.
Members: Go to User Settings > Apps and Integrations > HubSpot, then click the Actions button in the upper right and select Disconnect.
Sending Your Notes and AI Recap to HubSpot
There are two ways to send your Fellow notes, AI recap, and action items to HubSpot: automatically or manually.
Sending Automatically
When automatic sending is enabled, your notes and AI recap will be sent to HubSpot three hours after your meeting ends. If there are no notes or an AI recap, nothing will be sent.
Here's what happens when notes are sent automatically:
If a matching calendar event exists in HubSpot, the Team Notes section is updated with the meeting notes and AI recap.
If no matching event is found, a new meeting is created in HubSpot and associated with the relevant records.
Action items from Fellow are created as Tasks in HubSpot and linked to the relevant records. If the assignee in Fellow matches a HubSpot user, the task is assigned to them.
The sync of action items from Fellow to HubSpot is one-way. Tasks created in HubSpot will be archived in Fellow to prevent clutter.
Sending Manually
You can also send notes manually at any time. This is useful if you have automatic sending disabled or want to choose exactly what gets shared.
Navigate to a meeting that includes an external attendee with a matching Contact or Lead in HubSpot.
Click Send notes at the top of the note.
Select Send note to HubSpot.
Choose the Contact(s), Company, or Deal(s) you want to associate with this note, and decide whether to include the AI recap.
Click Send. Your notes will appear in the Team Notes section of the meeting in HubSpot, and action items will appear as Tasks.
Viewing HubSpot Information in Fellow
When a calendar event includes an external attendee who has a matching contact in HubSpot, a panel will automatically appear alongside your Fellow note with relevant information about that contact, including their Company and related Deals. This makes it easy to stay informed before and during your meetings without switching between tools.
From a note, you can click on the HubSpot icon along the right side panel to view any associated information.
From the library, you can apply a company filter and then quickly view the information available in HubSpot. Depending on your screen size, you may need to manually expand this part by clicking View company info.
