Delegated Access

Grant someone access to manage your meetings, tasks, and calendar

Delegated access enables someone else to manage your meetings, tasks, and calendar on your behalf. A common use case is granting access to an executive assistant or chief of staff who can help you stay organized by performing most functions in Fellow for you.

Note: This feature is only available on the Enterprise plan and must be enabled by a workspace administrator in Workspace Settings before users can grant delegated access.

Understanding Delegated Access

What is a delegate?

A delegate is someone who has been given access to a user's account. This access is granted by the user themselves (also referred to as the delegator).

What is a delegator?

A delegator is the person granting access to their account. They maintain control over who has access and can set expiration dates or remove access at any time.

What Delegates Can Do

Once granted access, a delegate can perform these tasks on behalf of the main user:

  • Plan meeting agendas

  • Respond to meeting requests

  • Edit Google Calendar or Outlook calendar

  • Initiate peer feedback and send the user's feedback

  • Add meeting notes, talking points, and action items

  • Monitor 1-on-1 actions between the manager and direct reports

  • Toggle between workspaces and accounts

  • Add to private notes

What Delegators Can Do

As a delegator, you can:

  • Grant delegate permissions to users in your workspace

  • View and edit access for your delegates

  • Set expiry dates (time frames) for delegated access

  • Remove delegate access at any time

For example, you can grant temporary access to your account for a specific period, such as Q3 2025, if you'll be on leave or need extra support during a busy time.

Enabling, Disabling and Tracking Delegated Access for your Workspace (administrators)

Enabling/Disabling

In order for members of your workspace to start granting delegated access, you will first need to enable it by:

  1. Head to workspace settings > security

  2. Head to delegated access (indicated by the green toggle)

    1. To enable toggle off Allow users to add teammates as delegates (indicated by the green toggle)

    2. To disable toggle off Allow users to add teammates as delegates (indicated by the grey toggle)

Tracking

Since delegators may be granting access to sensitive information, you are able to monitor delegated access activity within your workspace audit log. This includes administrators who may have enabled or disabled the feature for your workspace as well as delegates logging in or out of their delegator's accounts.

Add a Delegate

Grant another user access to your Fellow account so they can manage your meetings and tasks on your behalf.

Steps to add a delegate

  1. Go to User Settings > Delegated Access

  2. Click Add in the upper right corner

  3. Choose the user you want to give delegated access to (scroll through the list or search for their name)

  4. Optionally, set an expiry date for when the delegated access should end. Leave this section blank to have their access never expire (example: for executive assistants).

  5. Confirm that you want to grant delegated access to that user

The delegate will now appear under My Delegates in your settings.

Edit or Remove a Delegate's Access

Delegated access doesn't need to be permanent. You can edit the expiry date or remove a delegate's access at any time.

Remove a delegate

  1. Go to User Settings > Delegated Access

  2. Click on the delegate you want to remove

  3. Click the three dots in the upper right corner

  4. Select Remove access

  5. Confirm that you want to remove this person by clicking Remove

You'll see a notification confirming the removal, and the person will no longer appear under My Delegates.

Edit a delegate's access

  1. Go to User Settings > Delegated Access

  2. Click on the delegate you want to edit

  3. Click the three dots in the upper right corner

  4. Select Edit access

  5. Update the expiry date (or fully remove the user if needed)

  6. Click Save changes

The updated expiry date will appear on the delegate's card in My Delegates.

Act as a Delegate

If you've been granted delegate access to someone's account, you can switch between your own view and the delegator's view to perform actions on their behalf. Log in to their account by:

  1. Click on your profile or workspace name in the upper left corner

  2. Look for the delegated accounts section

  3. Select the user you want to act on behalf of

  4. You'll now be viewing and working in their account as noted by the banner along the top of your Fellow page

  5. When acting as a delegate, you can perform all the tasks listed in the permissions section above.

  6. When you are done, be sure to log out of your delegator's account by using the arrow icon along the top of Fellow account

Delegated Access and the AI Note Taker

Does the Note Taker know who I am if I attend a call on a teammate's behalf?

This depends on whose account you're logged into on the video conferencing platform. The AI Note Taker gets participant names directly from your video conferencing provider (Zoom, Google Meet, Microsoft Teams).

This means if you attend a call on your manager's behalf and log into their Teams account to join the meeting, the Note Taker will identify you with the name used in Teams, not your own name.
