Capture Consent for Auto-Recorded Meetings in Microsoft Teams

Attendees can agree to or decline recording before joining.

Fellow's consent capture feature gives attendees a chance to review and respond to recording notice before a meeting starts. When enabled, Fellow removes the native link and adds the Fellow join link in the location field. If an existing location exists, it won't be replaced but a new one will be created. This article explains how the feature works, how admins can enable it, and what attendees and organizers can expect during the flow. Please note that Capture Consent is exclusively an Enterprise plan feature.

How Consent Capture Works in Fellow

About one hour before a scheduled meeting, Fellow automatically swaps the Microsoft Teams join link in the calendar event with a Fellow-hosted consent URL. The native Join button is removed from the event. Attendees click the consent URL in the event location field to reach the consent page before entering the meeting.

On the consent page, attendees see an explanation that the meeting will be recorded. They then choose one of two options:

  • Agree to be recorded: the attendee is redirected to the original Teams meeting link and joins normally.

  • Request not to be recorded: the attendee enters their email address, their decline is logged, and they are asked to mute their microphone and turn off their camera before joining.

What the Meeting Organizer Sees

If one or more attendees decline recording, Fellow shows the organizer a real-time warning inside the recording controls. The warning identifies which attendees have declined, so the organizer can take action before or during the meeting. Users can also see who declined or consented in the meeting activity logs section.

How to Enable Consent Capture

This feature requires a workspace admin to enable it in workspace settings. Follow these steps to turn it on:

  1. Open Fellow and navigate to your Workspace Settings.

  2. Locate the setting labeled Capture consent for auto-recorded meetings.

  3. Toggle the setting on to enable consent capture for all auto-recorded meetings in the workspace.

Allowing Users to Control Consent Per Meeting Series

Admins can also give individual users the ability to toggle consent capture on or off for their own meeting series. To enable this:

  1. In Workspace Settings, find the Capture consent for auto-recorded meetings section.

  2. Enable the option that allows individual users to manage this setting per meeting series.

Once this option is on, users can adjust the consent setting directly from their individual meeting series in Fellow.

Current Availability and Requirements

Consent capture is currently available for Microsoft Teams meetings only. Support for Google Meet is planned for a future update. This feature must be enabled by a workspace admin before any users can access it.

With consent capture enabled, your attendees always know a recording is taking place before the meeting begins. Organizers get clear visibility into who has declined, making it easier to respect attendee preferences and stay compliant with recording policies.
