Working with external partners like vendors, agencies, or contractors doesn't have to mean chaotic, agenda-less meetings. Cross-workspace collaboration lets you co-edit meeting notes with someone on a different Fellow workspace β no guest user setup required.
Key Terms
Workspace: The shared environment where your team uses Fellow. Each workspace has its own URL (usually https://companyname.fellow.app), its own members, and its own billing.
Workspace members: People with a full account on your workspace, typically sharing the same email domain.
Internal users: People who share your company's email domain but don't yet have a Fellow account.
External users: People with a Fellow account on a different workspace. This could be a colleague on a separate company workspace or someone from an outside organization entirely.
Guest users: External people who've been invited into your workspace with limited access and capabilities.
What Cross-Workspace Collaboration Means
When you share a note with someone outside your workspace, they can view and edit your version of the note while still keeping their own version on their workspace. Both collaborators can add content, assign action items, and navigate between their respective versions using the note switcher at the top of the screen.
Before You Start
Your workspace admin controls three settings that may affect this feature. Check with them if you run into issues:
"Allow users to invite members to join your workspace"
"Allow users to collaborate with other workspaces"
How to Share a Note with an External User
Open the meeting note you want to share and click the Share button in the banner at the top of the meeting note.
In the Share modal, select the external users you'd like to invite. Fellow will pre-populate this list with external attendees from the original calendar event, but you can add or remove people as needed.
Those users will receive an email from Fellow with a direct link to the note.
How to Accept a Cross-Workspace Collaboration Request
When you receive a shared note, you'll get an email from Fellow. Click View meeting agenda to open a read-only preview of the note.
From there, click Accept and collaborate in the top right corner. You'll be prompted to log in or create a Fellow account if you don't already have one.
Once accepted, you'll be viewing the sharer's version of the note.
How to view a note shared from another workspace
Use the note switcher at the top to toggle back to your own workspace's version at any time:
