Create or edit new events in Fellow

Schedule meetings directly from Fellow and sync to your calendar

You can create calendar events directly in Fellow without switching to Google Calendar or Outlook. Fellow syncs the event to your calendar automatically, sends invites to attendees, and opens the meeting note so you can start preparing your agenda immediately. This eliminates the need to jump between tools when scheduling meetings.

How to Create a New Event

  1. Navigate to the Meetings section in Fellow then click the plus (+) button at the top of the calendar

  2. In the event creation window, fill out the following information:

    • Event title: Add a clear, descriptive title for the meeting

    • Meeting purpose (optional): This appears as the description in Fellow and your calendar. Use this to provide context about the meeting's goals

    • Date and time: Select the date and time for your meeting. Fellow will show suggested times based on attendee availability

    • Recurrence (optional): Choose a recurring cadence: weekly, biweekly, monthly. Set a custom recurrence pattern if needed and decide when the recurring series should end

  3. In the participants field, start typing names or email addresses. Select attendees from the dropdown menu. As you add participants, Fellow displays their calendar availability. Click on free time slots in the availability calendar to adjust the meeting time.

    1. Note: The availability calendar is interactive - click on any free time slot and Fellow automatically adjusts the event time to match.

  4. Add video conferencing (optional): Toggle on Add video conferencing to automatically generate a Zoom, Google Meet, or Teams link based on your calendar provider

  5. Select calendar (if you have multiple): If you've connected multiple calendars, choose which calendar should display this event

  6. Schedule Note Taker (optional): Toggle on Record and summarize to schedule the Fellow Note Taker to automatically join and record the meeting. The Note Taker will join this meeting and all future occurrences if recurring

  7. Save the event: review all event details, click Save to Google or Save to Outlook (depending on your calendar provider)

Fellow creates the event, sends calendar invitations to all attendees, and immediately opens the meeting note so you can start preparing.

What Happens After You Create an Event

Once you create an event in Fellow:

The event appears:

  • In your Fellow calendar under the Meetings section

  • In your Google Calendar or Outlook calendar

  • On attendees' calendars (they receive calendar invitations)

Attendees can see their availability:

  • If attendees are Fellow users, they'll see the event in their calendar

  • Calendar invitations are sent via Google/Outlook

Checking Attendee Availability

When adding participants to an event, Fellow shows their availability to help you find a time that works for everyone:

For Fellow users:

  • Availability is displayed automatically

  • Shows busy/free time blocks

  • Updates in real-time as you add participants

For non-Fellow users:

  • Availability may or may not appear depending on calendar permissions

  • For Google Calendar users: Check if you have the correct sharing permissions in your Google Calendar settings

  • If availability doesn't appear, you may need to check with attendees directly

Edit Events

You can edit calendar event details directly from Fellow, including time, length, date, attendees, and more.

When to edit an event

You might need to edit an event if:

  • The meeting time needs to shift

  • The meeting needs to be shorter or longer

  • Someone needs to be added or removed

  • Details need to be updated during a meeting for the next recurrence

Steps to edit an event

  1. Click the three dots on the calendar event

  2. Select Edit Event

  3. Make your changes (time, length, date, attendees, etc.)

  4. If changing the time, Fellow will show suggested times that work for all attendees

  5. Click Save to Google or Save to Outlook

Edit permissions

You'll only have full edit access if you're the event organizer. This includes the ability to edit and delete events from Fellow.

If you're not the event organizer, you can still RSVP to the event directly from Fellow.

RSVP to Calendar Events

Accept or decline calendar invitations directly in Fellow without navigating back to your calendar.

Identify unaccepted events

Events that haven't been accepted typically appear grey in Fellow.

Steps to RSVP

  1. Click the three dots in the bottom corner of the calendar event

  2. Select Yes, No, or Maybe

Your RSVP will be recorded and synced to your calendar.

Change your RSVP

You can change your RSVP at any time:

  1. Click the three dots on the calendar event then select event details

  2. Select a different Going? response (Yes, No, or Maybe)

The updated RSVP will sync to your calendar.
