The Fellow Note Taker joins your meetings to record and transcribe them, but it needs to be accepted as an attendee before it can start. If it didn't join your call, you'll typically see an error message in Fellow explaining what went wrong. Below are the most common reasons, and how to fix each one.
Removed from the waiting room
If the Note Taker was denied entry into your meeting, it won't be able to record your call. To fix this, manually re-invite it by clicking Record in Fellow and then accepting it into your meeting.
Exceeded time in waiting room
The Note Taker will wait up to 4 minutes to be admitted. If no one lets it in during that time, it will leave, and your meeting won't be recorded or transcribed. If this happens, click Record in Fellow and accept the Note Taker into your meeting to start a new recording session.
Invalid meeting link
The Note Taker needs a valid video conferencing link to join your call. If your calendar event doesn't have a Zoom, Google Meet, or Microsoft Teams link attached, the Note Taker won't be able to find or join the meeting. Make sure all calendar events include a valid meeting link.
Host recording permissions denied
Each video conferencing platform has its own recording permission settings. If these aren't configured correctly, the Note Taker won't be able to join or record. See the platform-specific steps below to resolve this.
Using Zoom as your call provider
To ensure the Note Taker can join and record your Zoom meetings:
Confirm that local recordings are enabled in your Zoom settings.
Make sure the meeting host is present when the Note Taker joins: a pop-up will appear in the call asking the host to allow recording.

Using Google Meet as your call provider
If host controls are enabled on a Google Meet call and the host isn't present, the Note Taker won't be able to request entry, and your meeting won't be recorded.
To prevent this, turn off host controls before your meeting starts:
Open your Google Meet call.
Go to Host controls.
Toggle off the setting that requires host approval for participants to join.
