Action items in Fellow help you document what needs to be done and who's responsible for doing it. All your action items from meetings and 1-on-1s are compiled in one place, making it easy to stay organized and follow through on commitments.
What Are Action Items?
Action items (or todos) are represented by a square (β) in Fellow notes. They're tasks that can be assigned to a person, given a due date, and tracked across your workspace. Action items help you clearly note what needs to be done and ensure accountability for follow-up tasks.
Where to Find Your Action Items
Your action items are consolidated in two main places in Fellow:
Action items panel
Hover over the Action items icon in the left navigation bar to open the side panel. This gives you quick access to your action items without leaving your current view.
To see the full view, click Open full view at the top of the panel.
Action items page
Access the full action items page by clicking Action Items in the home panel. This page shows all action items from your meetings and 1-on-1s.
Each action item displays:
The meeting or note it came from
The due date (if assigned)
Integration pills (if the action item is synced to an external tool like Asana, Linear, or ClickUp)
These integrations must be configured within the series, not from the Action Items page
Create Action Items
You can create action items in notes or directly in the action items section. All action items that have been assigned to you regardless of creation method will appear within your Action Items page.
Create action items in a note
There are four ways to add action items to notes in 1-on-1s and meetings:
Method 1: AI generated action items
Once your AI recap has been generated, you will see action items pulled from the transcript listed in your action items page.
Method 2: Convert existing text
Highlight existing text and select Action Item from the dropdown to convert it into an action item.
Method 3: Press return
If there's already an action item in the document, press Return to create another one.
Method 4: Slash menu
Type / to open the slash menu

Method 5: Keyboard shortcut
Use the keyboard shortcut [] for quick action item creation.
Create action items not attached to a meeting
Sometimes you have action items that aren't attached to meetings, such as items on your daily todo list or tasks for a group project. You can create notes in Fellow to track these items.
Navigate to the action items page
Click Create action item in the upper right corner, OR
In the custom view, click the plus icon next to the main inbox
Fill out the action item details in the popup
Turn on the Create more toggle to create multiple action items efficiently
Assign Action Items
Assign to meeting attendees
Click on the assignee icon at the end of the action item and select the person from the meeting attendees.
Assign to anyone in your workspace
You can assign action items to people who aren't in the meeting:
Create an action item
Click the assignee icon at the end of the action item
Search for the name of the person you want to assign it to
Select their name
If they're not in the meeting, their avatar will have a dotted border around it. Once assigned, the person will see the action item in their Action Items section.
Assign to multiple people
Sometimes an action item needs to be assigned to more than one person. There are two use cases:
Case 1: Everyone needs to complete it individually
Example: Submit completed form to HR
Multiple people are required to complete this action item independently.
Case 2: Anyone can complete it
Example: Upload new logos to marketing website
Multiple people can complete this action item, but once it's done by one person, it's complete for everyone.
Steps to assign to multiple people
Create or click on an action item
Click the assignee icon
Check off All note users or individually select users
Click to assign
Case 1 view: When everyone needs to complete the task individually, the action item shows a number indicating how many people have completed it (for example, 2/5).
Case 2 view: When anyone can complete it, the action item shows multiple avatars.
Note: Action items with multiple assignees cannot be synced to integrations like Asana, Linear, etc. This option may need to be enabled by an administrator in Workspace Settings.
Add Due Dates
This is a Team Plan feature. Keep everyone on track by assigning due dates to action items.
Due date categories
Due dates are sorted into categories with colour indicators:
Past Due: Red
Due Today: Yellow
Due Soon: Yellow
Due Later: Black
Assign a due date
Click the clock icon (π) next to the assignee avatar at the end of the action item. Select a date from the calendar.
Change a due date
Click on the existing due date and select a different date from the calendar. You can edit the due date anywhere you see it (in the note, action items page, or action items tab).
Remove a due date
Click on the due date to open the calendar, then select Remove due date at the bottom of the menu.
View and sort by due dates
Once a due date is assigned, you can view it:
In the note itself
In the action items page
On the homepage
In digest emails or Slack
In the action items section, you can sort your action items by due date to easily prioritize tasks.
Organize and Group Action Items
Group by options
You can organize your action items using these grouping options:
Due Date: Group by when action items are due
Meeting/Note Series: Group by the note where the action item was created
Custom: Create your own custom groups
None: No grouping
Create custom groups
Custom groups let you organize action items in a way that works for you. Examples include grouping by project, urgency (today, upcoming, later), customers, or type of work.
Steps to create a custom group
Go to Action Items in your home panel
Click the three dots at the end of an existing group name and select Create new group, OR
Scroll to the bottom of the page and click Create a new group
Give your group a name
Drag and drop action items into the group
Once created, custom groups can be rearranged and reordered. Action items can be dragged between groups.
Sort within groups
Within groups, you can sort action items by:
Custom: Manual ordering
Due Date: Organized by when they're due
Date Created: Organized by when they were created
Filter action items
Use filters to refine what you see:
Show completed: Display completed action items
Show archived: Display archived action items (marked as "won't do")
Copy and Move Action Items
Copy action items to other notes
You may want to copy action items to your Daily Planner or a project todo list.
Steps to copy
Hover over the action item
Click the three vertical dots at the end of the line
Select Copy to...
Search for the meeting, 1-on-1, or note where you want to copy it
Choose whether to create a linked copy or an independent copy
Click Copy action items
Linked vs. independent copies
Linked copy:
Shows a purple link icon on the left
Checking it off in one location checks it off everywhere
Only appears once in the action items section despite being in multiple places
Click the action item to navigate to the other note it's linked to
Independent copy:
Creates two separate copies that don't affect each other
Useful when you want similar but separate tasks
Move action items in bulk
You can move multiple action items at once to save time.
Steps to move in bulk
Hold Shift and select each item you want to move, OR
Hold Shift and select the top and bottom items to select everything in between
Click the three vertical dots next to any selected action item
Select Copy to...
Choose the destination and whether to link the copies
Click Copy action items
Note: The bulk "Copy to" function is only available under the My Action Items tab, not in individual meeting notes.
Manage Action Item Status
Complete action items
Check off the box next to an action item to mark it complete. Completed action items can be filtered to show or hide them in your views.
Archive action items
Sometimes action items are no longer relevant, are out of date, or won't get done. Instead of deleting them (which removes them from the historical record), archive them.
Why archive instead of delete?
Archiving action items:
Clears your todo list to help you focus on current tasks
Preserves the historical record and context
Acknowledges the action item wasn't completed (rather than marking it as complete when it wasn't)
Steps to archive
Archived action items appear crossed out but remain in the note. They won't be carried forward or count as incomplete action items.
To view archived items:
Delete or complete action items in bulk
To delete or complete multiple action items at once:
Hold Shift and select each item, OR
Hold Shift and select the top and bottom items to select everything in between
Click the three vertical dots next to any selected action item
Select Delete (#) action items or Mark (#) as Complete
Note: Fellow offers the archive option instead of deleting to retain a copy in your note history. The bulk function is only available under the My Action Items tab.
View Action Items Assigned to Others
Build team accountability by checking in on the status of action items assigned to your teammates.
Important: You can only see action items assigned to others in notes you have access to. For example, if you're in a meeting with someone, you can view their action items from that meeting. You cannot view their action items from meetings you don't have access to.
Search Action Items
Use the search bar in the upper right corner of the action items page to quickly find specific action items. Enter keywords or the name of the meeting to locate what you're looking for.
Integrate with Task Management Tools
Fellow integrates with several task management tools including Asana, ClickUp, monday.com, Trello, Linear, Jira, and Microsoft To Do. This lets you sync action items created in Fellow to your task management tool of choice (and vice versa).
Once an action item is synced, you'll see a pill underneath showing the status as displayed in the other tool. Use Zapier to connect to additional tools not listed above.
