What are AI Note Templates?
AI Note Templates are structured formats that shape how your AI-generated meeting recaps are organized. Instead of receiving a general summary after every meeting, templates let you define exactly what information gets captured and how it's laid out - so the recap matches your specific workflow.
When you apply a template, Fellow's AI analyzes your meeting transcript and populates each section with relevant moments from the conversation, complete with timestamps that link directly to the recording and transcript.
Note: Sales-specific recap templates are available on Business plans and above. Custom AI Note Templates are available on Business plans and above.
Why use AI Note Templates?
Every team has different needs. A sales discovery call requires very different documentation than a weekly standup or a 1-on-1 check-in. AI Note Templates solve this by letting you standardize how meeting insights are captured across your organization.
With templates, your team can spend less time reformatting notes and more time acting on them. They're especially useful when syncing recaps to CRM integrations like Salesforce or HubSpot, since structured and consistent data flows more cleanly into your sales records.

Sales-Specific Recap Templates
For sales teams, Fellow offers templates aligned with popular sales methodologies. These are available on Business plans and above and require at least one external attendee in the meeting. Available frameworks include MEDDICC, BANT, SPICED, and other common sales structures.
To access sales templates, open the meeting note for a recorded external meeting, head to the AI note section, and select a different template from the dropdown.
Custom Templates
If the pre-built options don't quite match your needs, you can build your own from scratch. Custom templates let you choose from existing recap sections (like decisions, action items, or key takeaways) and arrange them however you'd like. You can also create entirely new custom sections by giving the AI plain-language instructions on what to look for - for example, "Identify any customer objections raised during the call" or "List all blockers mentioned by the engineering team."
Create a custom template by:
Navigate to where you can manage your templates within Fellow
Click the blue + icon
Give your template a name and description
Add sections by selecting from existing recap section types (e.g., Key Decisions, Action Items, Summary) or create a New Custom Section with plain-language instructions telling the AI what to capture
Arrange the sections in the order you'd like them to appear
Save your template
Once saved, you can apply it to any recorded meeting going forward - or retroactively apply it to past recordings.
How to Apply an AI Note Template
Before a meeting (recommended for recurring meetings)
If you attach a template to a meeting series ahead of time, every meeting in that series will automatically produce a recap in that format. This is ideal for recurring meetings like weekly stand-ups, client check-ins, or 1-on-1s where you want a consistent structure every time.
After a meeting
You can also apply a template after a meeting has been recorded.
Head to the recap panel
Open the recap and click the down arrow beside AI Note
Select the new AI template you'd like to apply
Tip: You can generate multiple template formats for a single meeting recording. Switch between them using the template dropdown to view your recap from different angles.
Personal vs. Workspace Templates
Personal Templates
Personal templates are private and only visible to you. Create these for your own workflow preferences without affecting anyone else on the team.
Workspace Templates
Workspace templates are shared across your entire team. These are great for ensuring consistency - for example, making sure every sales rep follows the same discovery call format, or every hiring manager uses the same interview recap structure.
Admin controls: Workspace admins can manage who is allowed to publish workspace templates, keeping the shared template library clean and organized.
