Meeting Note Templates

Meeting agenda templates are a great way to provide structure to your notes and set your meeting up for success!

What are templates?

When building an agenda, you don't need to start from scratch each time. Instead, use a template to do the base formatting for you and automatically format it for the purpose of your meeting. If you have a set structure, save your template with your customized headers and subheadings.

In Fellow, there are two types of templates - agendas and AI Notes. Agenda templates can be applied to any Fellow note (ex. meetings and 1-on-1's) prior to the meeting to provide structure. While AI Note templates are used for recaps that are processed after the meeting. This article focuses only on agendas, for AI Note templates, check out this article!

Where to find agenda templates

From a meeting note

  1. Navigate to the meeting note that you're looking to apply a template for

  2. Using the triple dot menu on the top right-hand side

  3. Select template > apply an agenda template to access the template library

  4. Search for the template you are looking to apply

  5. You will then have the option to preview the template or apply it instantly

    1. If you choose to preview first, you will then be able to either "copy to my templates" to edit the template to what works for you or apply it as is from that page

  6. Apply the template

    1. You can choose to apply the selected template to just that note and/or make it the default for all future instances of this meeting

    2. If you choose to apply it to your current note, all existing note content will be overridden so only the new template applies

From a meeting series

  1. Navigate to the meeting note that you're looking to apply a template for

  2. Using the triple dot menu on the top right-hand side

  3. Select settings > template

  4. Under the agenda section navigate to the triple dot menu

  5. Select browse templates to access the template library

  6. You will then have the option to preview the template or select it instantly

    1. If you choose to preview first, you will then be able to either "copy to my templates" to edit the template to what works for you or apply it as is from that page

  7. Select the template to make it the default for all future instances of this meeting

    1. Applying the template this will way not override your existing note, it will only update for notes that have not yet been created in this series

From the main menu

  1. Head to the more menu on the left-hand side of your Fellow account

  2. Select templates

  3. Switch to the agendas tab to access the template library

  4. Search or navigate to the template you'd like and click into it

  5. To apply it to a meeting series, select use template

  6. Search for the meeting series then click apply to set this as the new template for that meeting

Create your own templates

There are two options on how to create your own templates - from within a meeting note or from within the template library.

Create your template in a meeting note

You can use a meeting note to create the structure of a meeting you would like to re-use. Once the note is looking how you'd like to save it, use the triple dot menu > save as agenda template and then it will be added to your library for future use.

Access the template library through either the more menu or through a series directly to being making your own!

Note: if you are accessing the template library from a note or series, you will need to navigate to My templates to see the option to start creating.

Customize an existing template

If you're looking to update a template that already exists, select the template > copy to my templates to get an editable version. Once you have made the changes, be sure to save it with a new name so you can continue to use it for future meetings!

Once these templates have been created, you will be able to access them from the My templates tab.

Formatting

When creating a template, the same formatting options that are available for notes are available for templates. These include sections, headers, sub-headers, talking points, action items, bullet points, font colour, highlights.

Company templates

We also support company wide templates (for Business and Enterprise Plan users), which means templates can be shared throughout an organization. To use this template, users can choose "Apply a template" and choose "Workspace templates" on the left hand side. This will show them all the templates that admin have explicitly shared as workspace templates.

If you do not see this option enabled, your workspace administrator will need to enable it within workspace settings > general > workspace agenda template creation.

Removing a template from a series

If you'd like to remove a template currently applied to a meeting series you can do this from your series settings > template > use the triple dot menu > remove template. This will remove this template from the series and it won't be applied to future instances of that meeting.

Deleting a template

Deleting a template can only be done through the template library in the main menu (i.e. not within a meeting series). To do this, simply navigate to the template > use the triple dot menu > select delete template > select ok.
